Here's how to develop an interactive form with input controls, any user can fill without notice.
Step 1: Show the Developer tab
To draw your form, you will need several tools Developer ribbon. If this menu does not appear, pull down File, Options. Select Customize Ribbon tab. In the right pane (Primary tabs), select Developer and click OK.
Step 2: Activate Design
In the Controls section of the Developer tab, there is a button fundamental design mode. It acts as a toggle with two states. When you click it, you activate the Creation and the button turns orange: the form designer can then add controls, that is to say, input fields, list boxes, etc.. and modify these characteristics.
When it is finished, click Design View. The button will then return gray and Design is disabled. The user can now enter data, but not modify the structure of the form.
Step 3: Add a text box
Let's start with the simplest: a field in which the user can enter text. Start by entering accompanying text (example: Type in your name).
On the Developer tab, the Controls box has all the tools needed to build a form. Make sure that Design mode is active (see step 2) and then click the last bottom right (Legacy Tools).
In the list that opens, click Text Box. A framework emerges on the screen. If necessary, change in width with handles.
Step 4: ... and change its settings
It is now that the whole form takes interest you will set rules to control values. To do this, without deselecting the text box, click the Properties button on the Developer tab.
You open a window giving access to many parameters. For example, to impose a maximum length of twenty characters in the input value, type 20 in front of the MaxLength field. You can also change the font and font size (Font), the framing of the text in the input box (TextAlign) and many other parameters.
Step 5: Insert a list box
It is common in a form that asks the user to choose between several options. To create such a control, begin by entering accompanying text (example: What is your status?). Then, in the Controls section, click Controls inherited.
In inherited forms, turn on the combo box. A gray box appears on your sheet (you can not change the width it will automatically adjust to the length of the list elements). Right-click on the rectangle and choose Properties.
In the window that appears, enter the first content allowed in the list box, such Holder and click Add. Do the same to add, one by one, all the values that you allow in this list.
The vertical arrows in the dialog box, you can change the order of items in the list. This is not trivial because it is always the first item in the list that appears by default in the form.
Step 6: Add option buttons
You've probably seen in the dialog boxes for your software, these mutually exclusive options. They are called radio buttons, referring to the old radios where you could press a button at a time. Here's how to add them.
In the Controls box, click Controls inherited and under ActiveX Controls, click Option button (the round button, not the square). Right-click on the option and enter the desired text (which must appear on the form) in front of the Caption property. Do the same for the other options.
Once they are all on your form, select them by holding down the Shift key. In the Controls box, click Group, then Group. Now, when the user tick an option, all others will be automatically disabled.
Step 7: show a help message
A little more complex, you want to display a help message when the user clicks a button (or other control). In this control, we will associate a macro who will display this message.
In the Controls box, click Legacy Tools button and choose Control. Draw the button on your form. Right-click it and choose Object Push Button, Edition. Clear CommandButton1 and type the word Help. Double-click on the button to open the VBA editor.
Between the lines Private Sub ... and End Sub Command, type the Msgbox "For assistance, contact Mr. Martin at extension 1234." Return to Word and exit Design mode. Clicking the button displays the appropriate message.
Step 8: Select the form
Once your form has drawn, it remains to make it active. To do this, first turn off the design mode by clicking Design Mode in the Controls box. Then, still in the Developer ribbon, click Restrict changes.
A pane opens to the right of the Word window. In the Editing restrictions, select the Allow only ... Then scroll down the list below and choose the query. Below, click Enable Protection.
In the window that opens, type in twice a password and confirm. Now your users can not modify the "skeleton" of the document (labels prompt seizure, the page header, etc..), But only type text in the input fields or select an item in a list.
Step 9: Save the document
If you added a help message, as described in step 7, you create a macro. It can not be stored in an ordinary document (doc or docx extension). You must use another format. To do this, from the File menu, Save As Type list, select Word Document supports macros (docm) and confirm.
